HubSpot development & integration in West Michigan
Custom HubSpot CRM setup, API integrations, and AI automation, built by the team that wired HubSpot into the CRM a 180-person law firm runs 7,000+ active cases on. From $5,000. The only West Michigan agency combining HubSpot with custom AI development.
What HubSpot services do we offer, and what do they cost?
Maxx Effect builds custom HubSpot implementations for businesses in Muskegon and West Michigan. We handle CRM setup and configuration ($5,000–$25,000), custom API integrations connecting HubSpot to your existing systems ($8,000–$30,000), and AI-powered HubSpot automation that goes beyond native workflows ($15,000–$50,000). Ongoing management retainers start at $3,500/mo.
The difference is what gets built in-house instead of farmed out. Our founder wrote the HubSpot API integration for the CRM a 180-employee immigration law firm runs on. We also combine HubSpot with custom AI: lead scoring, intake triage, document processing. Very few agencies do both.
Timeline: 2-4 weeks for basic setup, 3-6 weeks for custom integrations, 4-10 weeks for AI-powered automation. We publish pricing and commit to timelines in writing.
Already on HubSpot and unsure whether your current implementation is working? See our dedicated HubSpot consultant page. Audit-first engagement model for businesses with messy workflows, broken integrations, or unclear ROI on license tiers.
What makes us different from other HubSpot agencies
We build the integrations in-house
The custom API work most HubSpot agencies farm out to freelancers, we write ourselves: API endpoints, webhook handlers, data sync pipelines, custom objects. One team owns the integration end-to-end.
HubSpot + AI is our unique combination
We combine HubSpot with custom AI: lead scoring, intake triage, document processing, and chatbots connected to live CRM data. Most HubSpot shops can't build AI. Most AI shops don't know HubSpot. We do both, which is rare anywhere on the lakeshore.
You already know what it costs
The numbers are on this page. If they work for your budget, we talk. If they do not, you just saved an hour on a discovery call.
You own the code
Every custom integration, every webhook handler, every workflow extension ships to a repository you control. No proprietary platform, no vendor lock-in. Fire us tomorrow and keep everything we built.
Real production experience
Our team built a full CRM with HubSpot integration for a large immigration law firm: AI-powered lead triage, bi-directional data sync, attorney routing on case events. Not a setup project. A production CRM with seven-figure revenue flowing through it.
Local: Muskegon, West Michigan
We are based in Muskegon. We meet at your office, our workspace, or a coffee shop. Most HubSpot agencies serving West Michigan are based in Grand Rapids, Detroit, or out of state. We are twelve minutes from Norton Shores and twenty from Grand Haven.

Workflow automation · intake to CRM, no hands
Which HubSpot hub do you actually need?
HubSpot sells four core hubs, and most businesses pay for more than they use. Here is the plain-English version, so discovery starts from the right place.
Marketing Hub
Email campaigns, landing pages, forms, and lead capture. You need it if you run content, ads, or nurture sequences and want the leads to land in the CRM automatically. Workflow automation here handles list segmentation and lead routing.
Sales Hub
Deal pipelines, sequences, quotes, and meeting scheduling. This is the hub for a team that lives in the pipeline and needs reporting on stage conversion and rep activity.
Service Hub
Tickets, knowledge base, and customer feedback. Worth it once support volume outgrows a shared inbox and you need SLA tracking and ticket routing.
Content Hub (CMS)
A hosted website and blog wired directly to the CRM. Useful if you want marketing and site content in one place. Many of our clients keep their site on Next.js and connect it to HubSpot through the API instead, which keeps the front end fast and fully owned.
Most West Michigan businesses we talk to need Marketing plus Sales at Professional tier, not the full four-hub Enterprise bundle. We say so in discovery, even though a smaller build means a smaller invoice.
HubSpot vs a custom CRM: how to choose
HubSpot wins when your process is standard: marketing, pipeline, and support that map cleanly to how HubSpot already thinks. You get workflow automation, reporting, and an API out of the box, and you are not maintaining the plumbing.
A custom CRM wins when your operations do not fit a template. The immigration law firm we built for tracks case events, practice-area routing, and document pipelines that no off-the-shelf CRM models. In that situation we build the system and use a HubSpot API integration for the marketing-ops side, so each tool does what it is good at.
The middle path is the common one: keep HubSpot as the CRM, then add custom objects, webhook handlers, and AI-powered automation for the parts native workflows cannot reach. That is most of the integration work we ship.
Hubs, workflows, and reporting out of the box. Standard process, no plumbing to maintain.
HubSpot stays the CRM. Custom objects, webhook handlers, and AI reach the parts native workflows cannot.
Operations that fit no template. We build the system; HubSpot handles marketing ops over the API.
What each HubSpot tier actually buys you
HubSpot sells each hub at four tiers. The jump that matters most is Starter to Professional, because that is where workflow automation, custom reporting, and full API access unlock. Here is the plain read, so you can size the plan before the sales call sizes it for you.
HubSpot Free
Contact records, forms, basic email, and a single deal pipeline. Genuinely useful for a small team getting off spreadsheets. No workflow automation and no real reporting, so you outgrow it the moment you need a rule to fire automatically.
Starter
Removes HubSpot branding, adds simple automation and payment tools, and raises limits. Right for a lean sales team that lives in the pipeline but does not yet need multi-step workflows. Many businesses sit here longer than a partner would like.
Professional
The real line. Workflow automation, custom reporting, sequences, and full API access all live at Pro. If you want AI actions, custom objects wired into automation, or a HubSpot API integration, this is the floor. Most of our integration clients are on Pro.
Enterprise
Advanced permissions, sandboxes, hierarchical teams, and higher API limits for large orgs. Powerful, and frequently oversold. A common audit finding is a business on Enterprise using nothing that Pro would not cover. We say so when we see it.
Migration
Moving to HubSpot from another CRM, without losing your history
Most of our setup work is a migration, not a blank start. You are coming off Salesforce, Pipedrive, Zoho, a spreadsheet, or a homegrown database, and the risk is not the new portal. It is losing the data and the automation that already works. We run migrations in five stages so nothing goes dark on cutover.
Step 01: Map the source
We inventory the old system: objects, fields, pipelines, the associations between records, and the automations you depend on. Then we map each one to a HubSpot equivalent and flag the fields that have no clean home, because those are where migrations quietly lose data.
Step 02: Clean before you move
Migrating a mess just gives you a HubSpot-shaped mess. We deduplicate contacts and companies, normalize values, and archive dead records before anything crosses over. It is cheaper to clean once, at the source, than to fight duplicates in the new portal forever.
Step 03: Test on a sandbox
We load a representative sample into a HubSpot sandbox or test portal, rebuild the pipelines and the critical workflows, and confirm the associations survived. You review real records in the new structure before we touch production.
Step 04: Cut over in a window
The full import runs in a defined window, usually a weekend, so the team starts Monday on the new system with the old one still readable as a fallback. Workflows go live in a controlled order, not all at once, so a bad enrollment cannot cascade.
Step 05: Verify and train
We reconcile record counts against the source, confirm the automations fire, and train the team on the new pipelines with a written admin guide they own. The old system stays read-only for a grace period, then retires.
HubSpot terms, in plain English
The vocabulary that comes up in every scoping call. Worth knowing before you sit down with any HubSpot agency.
Hub
One of HubSpot's product lines: Marketing, Sales, Service, Content (CMS), and Operations. You buy the hubs you need at the tier you need. Most businesses need Marketing plus Sales.
Property
A field on a record, like 'Industry' or 'Deal stage.' Custom properties are where portals get messy, because different people create near-duplicates of the same field.
Pipeline
The stages a deal (or ticket) moves through. A pipeline that matches how your team actually sells is the difference between reporting you trust and reporting you ignore.
Lifecycle stage
Where a contact sits in the funnel, from Subscriber through Customer. Only useful if automation actually writes to it. In many portals it is configured once and never updated.
Workflow
HubSpot's automation engine. It enrolls records on a trigger and runs actions: send an email, update a field, route a lead. Available from Starter (simple) and Professional (full).
Custom object
A record type beyond the built-in Contacts, Companies, Deals, and Tickets, like 'Property,' 'Loan,' or 'Case.' Requires Professional or Enterprise and is where custom builds get interesting.
Association
The link between records: a contact tied to a company, a deal tied to both. Migrations that break associations are migrations that lose the story behind the data.
Breeze
HubSpot's built-in AI for drafting content, summarizing, and basic scoring. Good for the standard cases. The custom AI we build handles the multi-step and document-heavy work Breeze does not reach.

How we implement HubSpot
Discovery + Audit
We review your current HubSpot setup (or evaluate whether HubSpot is the right fit). Map your data flows, integrations, and automation needs. You leave with a written scope and fixed price.
Configure + Build
CRM setup, custom properties, pipelines, integrations, workflow automation. For custom dev projects: API endpoints, webhook handlers, data sync logic. Everything built in a staging environment first.
Launch + Train
Go live with the full team. Training sessions recorded. Documentation written. We watch the first 30 days of data to catch edge cases and tune automations.
Optimize + Grow
Optional monthly retainer, and here is what it covers: new workflow builds as your process changes, integration monitoring that flags a broken sync the moment it happens, fixes when HubSpot ships an API change that would break your build, and a standing line to a person who knows your setup. Not a vague 'support' line.
What HubSpot work costs

Yes. We build custom API integrations between HubSpot and virtually any system with an API: ERP, case management, billing, scheduling, custom databases, and internal tools. Our team built a full integration between a custom Next.js and Supabase CRM and HubSpot for a large immigration law firm.
Most HubSpot agencies are marketing shops that outsource custom development. We build the custom integrations in-house: API endpoints, webhook handlers, data pipelines. We also combine HubSpot with custom AI automation, which is rare among Michigan agencies.

No, we're not currently in the HubSpot Solutions Partner Program. We work with HubSpot using the standard developer APIs and public documentation, and our founder has production HubSpot integration experience from a large law-firm CRM build. You hire us for shipped engineering work, not for a badge. If the Partner Program becomes valuable to your engagement (e.g. discounted seats), we'll discuss it during scoping.
